Mastering Your Workflow: How to Customize Email Attachment Names in NetDocuments for Legal Professionals

When you attach a copy of a file from NetDocuments to Outlook,  NetDocuments allows you to customize the way the name of the file is displayed.

Most firms want the name of the file in Outlook to be the name of the file in NetDocuments.  That’s how NetDocuments ships.  However, you can change it so that the name displays other information like the Document ID number and the version number.  For example I had a firm that wanted to see attachments like this:

File Name (NetDocs Doc ID v#)

The code to do that is: %n (%i v.%v)

This is a Cabinet Wide setting, so this is going to effect the entire firm.  You have to be a cabinet admin in NetDocuments to make this change.

 

Your options are as follows

%n= Document name
%i=  DocumentID
%v= Version number(ex: 1, 2, 3)

%vs= Version & Sub-version(ex: 1.1, 1.2)
%vn= Version name

 

In the NetDocuments Cabinet Admin Page,  go down to the Outgoing Email section.

Now you can go in and customize how email attachment names are displayed.
