Integrating NetDocuments with Cosmolex

WARNING

Most of the firms I set up with this integration end up disabling it for two reasons:

  1.  When Cosmolex creates a Matter in NetDocuments, it creates two folders in the NetDocuments Matter: Internal Documents and Client Portal Documents.  There doesn’t seem to be any way to turn this feature off.
  2. Cosmolex doesn’t allow you to choose how a Client Name gets displayed in NetDocuments.  Most firms want Craig Bayer to show up as Bayer, Craig, but Cosomlex will enter it in as Craig Bayer.

The integration of Cosmolex with NetDocuments does the following:

  1. Seamless Client and Matter Sync: When you create new clients or matters in Cosmolex, they are automatically added to NetDocuments. This ensures that all legal information is consistently updated across both platforms without manual entry.
  2. Effortless Document Access: While working on a matter in Cosmolex, you can easily access the relevant documents stored in NetDocuments. This streamlined process allows legal professionals to quickly find and manage case-related documents, improving workflow efficiency and reducing the time spent switching between systems.

By leveraging this integration, law firms can enhance their operational efficiency and maintain a higher level of organization, ensuring that all critical information is just a click away.

NOTE: If you change a client or matter description in Cosmolex, you will also need to go into NetDocuments and change the description.

If you’re looking to integrate Cosmolex with NetDocuments, the instructions on Cosmolex’s website are quite comprehensive. However, they assume you’re setting up NetDocuments for the first time. Given that most law firms have a consultant set up NetDocuments you can skip directly to Step 10 in the instructions.

Step 1:  Backup your Matter Table in NetDocuments

Step 2: In Cosmolex, Click Setup

Step 3: Click Apps

Step 4:  Turn on the link

Step 5:  Choose where your documents in NetDocuments reside

Options are the United States or Canada

Step 6:  Choose the Cabinet where your Client Documents Reside

Step 7: Authenticate with NetDocuments

Step 8:  In Cosmolex, go to Settings and Firm Preferences

Step 9:  Choose NetDocuments as the Default Document App

We did not have it create a folder. Since we are not sure what that does, we left it alone.

Step 10:  Click Save

Note that this doesn’t force all Cosmolex matters into NetDocuments.  If you open up a Matter in Cosmolex and click on the Documents Tab,  it will force it over into NetDocuments:
