How to Save Multiple Email Attachments at Once in NetDocuments via Outlook and ndOffice

For legal professionals using NetDocuments as their document management system, efficiently managing email attachments is a critical part of daily workflow.  In this guide, we’ll walk through saving multiple email attachments from Microsoft Outlook directly to your NetDocuments repository.

Prerequisites

Before you begin, ensure you have:

  • Microsoft Outlook Classic installed  (not the new Outlook)
  • NetDocuments ndOffice Installed

Step 1: Click on the Email with Attachments

Open the email containing the attachments you want to save to NetDocuments.

Step 2:Click on the ndSave

In Outlook, navigate to the NetDocuments tab in the ribbon at the top of your screen. If you don’t see this tab, you may need to install or enable the NetDocuments add-in first.

Step 3:  Select the Paper Clip

NOTE:  image This will strip the email of the attachment and save both the email and the attachments separately.

Step 4:  Choose all the Attachments you want to save

A dialog box will appear showing all attachments from the email. You can:

  • Select individual attachments by checking the boxes next to them
  • Deselect any attachments you don’t want to save

Step 5: Select the Cabinet to save the Attachments

Navigate through your NetDocuments workspace structure to find the appropriate:

  • Workspace (typically a matter or client folder)
  • Cabinet (document category)
  • Folder (specific subfolder if needed)

Step 6: Fill in Profile Attributes (if required)

Step 7:  Determine if you should use Save or Save and Close

If all the attachments are going to the same place, Use Save and Close. However, if you want to place the attachments in different locations, select the attachments you want, then click Save. Then, deselect those same attachments and select the new ones. Reprofile, then hit Save and Close.
