In legal environment where document integrity is paramount, ensuring that certain files remain untouched is critical. Whether you’re finalizing a contract, preserving a version for audit purposes, or simply preventing accidental edits, NetDocuments offers a straightforward way to make documents read-only. This guide walks you through the process—from modifying access rights to saving a custom security template—so you can lock down your files with confidence. With insights from Craig Bayer at Optiable, who has helped over 500 law firms implement NetDocuments, you’ll learn how to apply best practices that keep your data secure and your workflows efficient

In the example below, we want to make a document read-only. You could use the check box to choose multiple documents.

Step 1: Check the box next to the Document and click More

Step 4: Click the Box Next to Default Access and Click Remove

You should be the only person listed. If you are not listed, you will need to add yourself and remove everyone else.

Step 5: Choose the Default Access Group that can see the Cabinet.

Note: This group will not have a picture of a Cabinet by it, but will have two blue people.  Watch the video at the end if you have questions.

Step 6: Change the Rights to V and click Apply

This can be a pain in the neck to do, so once you have set this up correctly, you should create a security template so you can do this every time.

Creating a Security Template

Step 1: Under Security Template,  Click Save New Template

Step 2: Give it the name Read Only and click Save.

Now, when saving or modifying a document, you will have a Read Only option
