How to Find the Document ID in NetDocuments

Posted in NetDocuments Tips on October 25, 2025 by Craig Bayer

NetDocuments assigns a unique Document ID to every file stored in the system. This NetDocuments Document ID is essential for integrations, support requests, and tracking documents across your workspace. Whether you’re troubleshooting an issue or linking a document to another system, knowing how to locate the Document ID can save time and confusion.

What Is a Document ID?

The Document ID is a unique identifier—a string of 12-digit numbers —that NetDocuments uses internally to reference a specific document. Unlike the document name, which can be changed, the Document ID remains constant throughout the document’s lifecycle.

Why Is the Document ID Useful?

  • Support Requests: NetDocuments support often requests the Document ID to locate the file quickly.
  • Integrations: Tools like DocuSign, Clio, or custom APIs may use the Document ID to link documents.
  • Auditing: Helps track document history and access logs.

Copying the Document ID

NetDocuments offers several convenient ways to copy the document ID, depending on what you need:

Option 1: Copy Just the ID Number

  • Click on the document ID
  • This copies only the numeric ID (e.g., 4823-2000-1212) to your clipboard

Option 2: Copy the Full Document URL

  • Hold down the CTRL key and left-click on the document ID
  • This copies the complete document path and URL to your clipboard
  • Perfect for creating hyperlinks in Word, Excel, or other applications

Option 3: Copy an Icon with a Hyperlink

  • Hold down the SHIFT key and left-click on the document ID
  • This copies a formatted icon with the hyperlink
  • Useful when you want a visual representation of the link

Note: Some firms enable Document Stamping (so the ID appears in the footer of a Word document) to make it easy to reference when printed or shared externally.

Tips and Best Practices

  • Use Internal Links for Team Members: The document URL copied with CTRL + Click works only for users who have access to your NetDocuments system.
  • Use Secured Links for External Sharing: For sharing documents with people outside your organization, use the “Deliver a Secured Link” feature instead.
  • Maintain List View: Keep list view enabled when you frequently need to access document IDs.

Conclusion

Finding document IDs in NetDocuments is a straightforward process once you know where to look. Whether you’re using the Details Pane, viewing IDs in list view, or copying IDs using keyboard shortcuts, these methods will help you efficiently work with document identifiers. The document ID is an essential tool for document management, enabling you to create reliable links, track documents, and maintain an organized repository.

By mastering these techniques, you’ll be able to streamline your document management workflow and make the most of NetDocuments’ powerful features.
