How to Save Emails to NetDocuments from Your Smartphone

If your firm uses the Outlook NetDocuments 365 App, you don’t have to wait until you’re back at your desk to file an important email. The Outlook NetDocuments 365 App works inside the Outlook mobile app, so you can save emails directly to the correct client matter in NetDocuments — right from your iPhone or Android phone.

This is the same filing experience you have on your desktop, just on your phone.

Before You Start

Two things need to be in place:

  • The Outlook NetDocuments 365 App must be licensed and enabled for your NetDocuments account. This is a separate add-on from NetDocuments — if you’re not sure whether your firm has it, check with your NetDocuments administrator. If you’re interested in adding it, contact Optiable.
  • The Outlook mobile app must be installed on your iPhone or Android device. This does not work with Apple Mail or Gmail — it requires the Microsoft Outlook app specifically.

How to Save an Email to NetDocuments

Step 1: Open the email you want to file in the Outlook app. Tap the three-dot menu (⋯) at the top or bottom of the email.  Choose NetDocuments

Step 2: Select the cabinet where you want to save the email. Most firms have a single cabinet, but if yours has multiple, choose the one that corresponds to the matter.

Step 3: The Outlook NetDocuments 365 App will attempt to predict the correct workspace based on the email sender, subject, or other metadata. If the suggestion is correct, confirm it. If not, use the search bar to manually find the client or matter you want to file to.

The email — including any attachments — is saved to NetDocuments in the selected workspace.


A Few Things Worth Knowing

Attachments are included. When you file an email through the Outlook NetDocuments 365 App on mobile, attachments are saved to NetDocuments along with the email itself, the same as on desktop.

The prediction gets smarter over time. Workspace suggestions are based on contact and matter data in your NetDocuments environment. If a sender has been corresponded with before and their emails have been filed, the app is more likely to predict the right matter automatically.

This is not the same as the NetDocuments app. The Outlook NetDocuments 365 App lives inside Outlook — you don’t need to open the NetDocuments app separately. If you haven’t set up the NetDocuments app yet, see our mobile setup guide, but it’s not required for this workflow.
